What do we include in your Safety File?
Each Health and Safety File is tailored to the specific site requirements of our clients. It is compiled in accordance with both the client’s and the site’s safety specifications. While the overall information requirements remain consistent, site-specific documents will be added as needed. When setting up your Health and Safety File, it will encompass the following documents:

1. Contractor appointment letter (as per Construction Regulation 5(5)(k) or 7(1)(v))
2. Agreement between client and contractor (per 37(2))
3. Notification of Construction Work (submitted to DOEL)
4. Copy of the OHS Act and Regulations
5. Company Occupational Health and Safety Policy
6. Letter of Good Standing, Public Liability Insurance, Tax Clearance, and other relevant documents (Supplied by the client)
7. Material Safety Data Sheets for hazardous materials used (if required)
8. Risk Assessments – including baseline and task-specific assessments
9. Safe work procedures (Site Specific)
10. Fall Protection Plan
11. Legal appointment documentation with proof of training, tailored to your scope of work
12. Incident reporting and investigation procedures and associated documents
13. Incident reports (as per General Administrative Regulation 9(3) – Annexure 1)
14. Emergency preparedness documents
15. First aid documents – including dressing records and registers
16. Induction records – encompassing both company and client inductions
17. Medical surveillance records – annexure 3 medicals
18. Safety communication materials (e.g., Toolbox talks)
19. Health and Safety Plan – customized for specific tasks and sites
20. Company Policies and Procedures – covering areas such as HIV Policy and Substance Abuse
21. Registers – task and site-specific,, PPE issue, hand tools, etc.
22. Inspection register
